Getting Ready for a Successful Delivery
What You Need to Know
These guidelines outline the essential steps needed to ensure a smooth, safe, and efficient delivery. Please review each section so our team can set up properly, avoid delays, and protect both your property and our equipment.

Delivery includes placement on the first floor or within 50 feet of the closest drive-up location.
• Any access challenges — including but not limited to stairs, slopes, long distances, narrow walkways, soft ground, steep grades, or obstacles — may require additional staff and may result in additional delivery fees.
• Please confirm where vehicles and trailers can and cannot drive on the property.
• Someone must be on-site to direct our delivery and setup team upon arrival.
• Setup and pickup times may fall within a 2–4 hour window, depending on routing.

The setup area must be clear, level, and fully accessible prior to our arrival.
Grass must be cut at least 48 hours before installation to avoid grass stains, moisture transfer, and debris sticking to chairs, tables, and tent walls.
We are not responsible for lawn or ground damage caused by trucks, trailers, tent weights, or stakes, especially on soft or wet ground.

Tents must be secured using stakes whenever possible.
Where staking is not permitted or feasible — including but not limited to paved surfaces, septic systems, irrigation lines, underground utilities, or asphalt — tent weights will be required. Additional charges may apply for tent weights based on tent size and quantity required.
All underground utility locates must be completed before installation, and documentation must be available for our crew.

Reliable power is essential for lighting, catering, and other equipment. Please ensure the following are in place before our arrival:
General Power Standards
Clients must provide safe, sufficient, and reliable power for all equipment.
Extension cords must be outdoor-rated, proper gauge, in good condition, and placed to avoid tripping hazards.
Power must be available at installation so we can test lighting and rental equipment.
Dedicated Circuit Requirements
DJs:
Must have a dedicated circuit that is not shared with lighting, fans, heaters, catering equipment, or any other load.
DJ equipment cannot run on generator power and must use a stable, reliable electrical source.
Catering:
Requires two dedicated circuits, which may be supplied by a generator if it meets output requirements.
Lighting:
Must have its own dedicated circuit, separate from DJ, catering, fans, heaters, bar equipment, etc.

In high winds or unsafe conditions, we may need to remove tent walls or, in extreme cases, take down the tent for safety. These decisions are at our discretion.
If unsafe conditions prevent installation, setup may be delayed until weather improves.
You are responsible for protecting rentals from weather after setup.
Do not leave rentals outside overnight or uncovered.
Dance floors must not be exposed to water, rain, or condensation at any time.

Our crew will stack tables, chairs, and other rentals neatly for you to arrange as desired.
For pickup, all rentals must be returned to the same stacked arrangement and placed in one central, easily accessible location, on ground level unless otherwise approved.
Do not drag tables or chairs on concrete, gravel, grass, decks, or patios. This causes scratches and breakage.
Do not use tractors, dollies, or metal tools to move chairs, tables, or other sensitive items.
Any dishes or food-service rentals must be returned free of food and debris.

To prevent damage and ensure safety, do not move, modify, or tamper with any equipment installed by our team. This includes but is not limited to:
Tent legs or poles
Tent walls and ratchet straps
Lighting and cables
Dance floors
Restroom trailers
Tent stakes, weights, or water barrels
If you are unsure about something, please call or text us.

For safety, no one (ie. friends, family, guests, vendors, planners, or helpers) may be setting up décor or working in the installation area while our crew is setting up.
Vehicles, décor, and other items must not block the setup area.
Once our crew completes installation and departs, the space is yours to decorate within the guidelines above.

Heaters and generators are supplied by us when rented; however, fuel is the client’s responsibility. Please have the following ready upon delivery:
Propane for heaters
91-octane fuel for generators
Fuel must be stored and handled in a safe, compliant manner.

A $300 cash damage deposit is required and must be provided to the delivery team upon arrival.
The deposit will be refunded within 7 days after pickup, pending inspection of all rental items and equipment.
